Cancellation Policy

At Kyushu Immersion, we understand that travel plans can sometimes change unexpectedly. This policy outlines the terms for tour cancellations to ensure a clear understanding for all parties involved.

All cancellation requests must be made in writing via email to info@kyushuimmersion.com.  The official date and time of cancellation will be based on when the request is received in Japan Standard Time (JST).



1. Cancellation by the Client

The following cancellation fees will be applied based on the date and time your cancellation request is received prior to the scheduled tour start time.

  • 15 days or more prior to tour start: 0% of the total tour price (Full Refund)
  • 14 to 8 days prior to tour start: 20% of the total tour price
  • 7 to 3 days prior to tour start: 30% of the total tour price
  • 48 hours (2 days) to 24 hours (1 day) prior to tour start: 50% of the total tour price
  • Within 24 hours prior to tour start or in case of a No-Show: 100% of the total tour price

2. Cancellation by Us (Kyushu Immersion) or Due to Unforeseen Events

In the rare event that a tour must be canceled from our side, or cannot proceed due to circumstances beyond our reasonable control (force majeure), we will notify you as soon as possible. Such events include, but are not limited to:

  • Guide’s Unavailability: Sudden illness, family emergencies, or other unforeseen personal circumstances of the guide.
  • Cruise Ship Issues: If your cruise ship is unable to dock at the scheduled port due to severe weather (e.g., typhoon) or other operational reasons determined by the cruise line.
  • Severe Weather on Land: Natural disasters such as heavy rain warnings, strong winds, or earthquakes that make conducting the tour unsafe.
  • Vehicle Issues: Mechanical breakdown of the guide’s vehicle that prevents safe transportation.

In any of these cases where the tour cannot be conducted, you will be offered the following options:

  • A full refund of the tour price you have paid.
  • An alternative guide, if one is available and you agree. Your payment will be transferred for that service.
  • Rescheduling the tour to another mutually agreeable date, subject to the guide’s availability.

3. Refund Processing

If a refund is applicable, it will be processed to your original payment method within

5-7 business days from the date we confirm the cancellation. Please note that any transaction fees or differences in currency exchange rates incurred during the refund process may be borne by the client.


4. Important Recommendation: Travel Insurance

Kyushu Immersion is not responsible for any additional costs you may incur due to a tour cancellation, such as accommodation fees, flight tickets, or other transportation costs. To protect yourself from unforeseen circumstances,
